Troubleshoot Unexpected Status Changes
Posted by Savance on 16 August 2010 08:25 PM

There are several reasons why your Status in EIOBoard might change automatically.

  • This change could come from a Future Status, or from any of the actions specified on the Default Status tab in the EIOBoard Settings for the EIOBoard Application Interface or EIOBoard Outlook Interface.  These actions include logging in/off, mouse and keyboard activity/inactivity, locking/unlocking the PC, going in and out of Standby, and telephone integration.
  • In addition to all these automated Status changes, there are also several different interfaces where a Status change can occur, such as the Application, Browser, Kiosk, Mobile, Outlook, and Punch Interfaces.
  • There is also a "Sign Out All Users at Midnight" setting in the Company Settings section of the Administrator.  If this is set, the Status of all users will automatically change to the default "Out" Status at 12AM (midnight) if their Status is not currently set to a Status with the Out Status Type.
  • Lastly, there is a "Change Statuses to 'In' After Return Time Passes" setting in the Company Settings section of the Administrator.  If this is set, the Status of any user in your Organization will change to the default "In" Status when the current time passes the Return Time set for their current Status.

Future Statuses can be added several different ways.

  • They can be added manually from the EIOBoard Application, Browser, or Outlook Interface.
  • You can also add Future Statuses with the Outlook Sync feature in the EIOBoard Application or Outlook Interface.  This can be done manually from the Outlook Sync screen, or automatically by configuring the Settings on the "Auto Sync" tab.  If you are using the EIOBoard Outlook Interface and have Outlook 2007 or greater you can also add Future Statuses while adding an appointment to Outlook right from the add appointment screen.
  • Lastly, Future Statuses can be imported from a server-side Exchange Sync that can automatically synchronize calendar appointments and set people's status to a mapped status of their Outlook appointment's Free/Busy status.  Please note that the Exchange Sync feature is only available to Customer-Hosted users running Exchange 2007 or higher

The most useful tool for determining how your status changed is the reporting feature.  Reports can only be accessed by users who are assigned to either “EB Admin” or “EB View Reports” Security Group, and can be viewed in the EIOBoard Application, Browser, or Outlook Interfaces.  To open a Report, simply click the “Reports” button in the EIOBoard toolbar in the EIOBoard Application, Browser, or Outlook Interface.  The most helpful Report for investigating Status changes is the “In Out History Summary” Report.  This Report lists when the Status was changed, what the Status was changed to, return date/time, comment, who changed the Status, what Interface, IP address, and computer name the Status was changed from, and what the initial login date/time was for the session that changed the status.

You should also check the Settings if the EIOBoard Application or Outlook Interface is used to see if any of the settings on the Default Status tab are configured to change the Status automatically.

A common issue we have seen with unwanted Status changes are where users are logged in to multiple locations simultaneously using remote desktop or a terminal server (like on a PC and on the server) or are using both the EIOBoard Application Interface and EIOBoard Outlook Interface on the same PC.  It is recommended that you do not use both the EIOBoard Application Interface and the EIOBoard Outlook Interface on the same PC, as is can cause conflicts like unwanted Status changes and multiple open Chat windows.
