Order Comments

In Savance Enterprise, there are a few ways to add a comment to a quote or order.  The same also applies to request for quotes, purchase orders, return requests, return material authorizations, vendor returns, and return to vendors.  In the header, you will see the Printed Comment and Internal Comment text boxes.

 

 

It is important to understand the differences between the two types of comments.

 

  • Printed Comment - The printed comment can be added to the quote and order templates.  It is typically meant to be seen by the customer.
  • Internal Comment - The internal comment is not intended to be added to the quote and order templates, even though it can be added to the template if so desired.  It is intended to be printed on pick tickets.  It is not typically meant to be seen by the customer, and is intended for internal use only.

 

If you double-click the Printed Comment text box, then a window will pop up.  In here, you are able to save comments that you frequently use so that you can use them on other quotes.  Simply double-click a saved comment to transfer it to the quote.

 

 

To add a new saved comment, hit the add button and type it in.  Hit the OK button when you are finished.  You will see your saved comment in the window.  Notice that there will not be an asterisk next to the comment.  This means that the comment is specific to your username.  Other Savance Enterprise users will not have access to use this comment on their quotes.

 

 

Global (shared) comments can be defined in the Savance Enterprise Administration screen.  Only users with the appropriate security rights will be able to access this section.  On the Comments tab, global comments will have the Sales Person listed as Global.  With the Type set to Global, hit the Add button to define a new global comment.  Select an existing global comment and hit the Edit or Delete button to modify or remove it.  Hit the Update button when you are finished typing it in.  Global comments will appear for all users in Savance Enterprise to be used on a quote.

 

 

Administrators also have the ability to define, view, edit, and delete comments saved by other users.  Switch the Type to User, then select a User from the dropdown list.  The user's comments will load up above, and you can make whatever changes that are necessary.

 

 

There is another way you can add comments to a quote.  Simply type in the description field on the spreadsheet.  The comment will appear as a line item on a quote.  This is useful if you would like to add comments that specifically pertain to a part.

 

 

There is one user-specific setting in the Settings screen.  When "Add Comment to Last Line" is checked, the Printed Comment will appear as the last line item on the quote.

 

 

That should cover all the different scenarios regarding comments.
