Configuring Shipping and Handling Charges with OrderSavant Web

This article explains how to configure shipping and handling charges on OrderSavant Web, how these charges are applied to an order, as well as how to send the prices for shipping and handling over to Array when you convert the order using the OrderSavant Application.  

OrderSavant Web can integrate with FedEx and/or UPS in order to calculate a a shipping estimate based on the warehouse address, customer shipping address, and total weight of the items ordered.  If weights are not specified for an item it uses 5 pounds per item for estimation purposes.  While the shipping price is only an estimate, the calculated price is added to the web order.  It is the responsibility of the inside sales owner to modify the shipping cost (if necessary) when the order is converted. FedEx and UPS Integration also allows the customer to select their desired shipping service type such as ground, next day air, etc. which is reflected in the Printed Comment in the OrderSavant Application once the web order has been submitted.  To use these services you will need to register for a FedEx and/or UPS developer account and once obtained fill out the account information either with the OrderSavant Application in the Administrator in the Sites section under the Web tab, or in OrderSavant Web by clicking the “ADMIN” link and clicking the “General Settings” link.  If you do not want to use this feature, just blank out the specified values.  

You can also configure OrderSavant Web to charge an additional handling fee if desired.  This may be used to make up the difference in shipping costs that may be lower than the actual price due to inaccurate weights or package dimensions, or to make up from potentially low profits from guest users ordering small quantities of low cost items.  The handling charge can be configured three different ways.  It can be applied as a flat rate fee, a percentage of the shipping cost, or a percentage of the order total.  This can be configured with either the OrderSavant Application in the Administrator in the Sites section under the Web tab, or in OrderSavant Web by clicking the “ADMIN” link and clicking the “General Settings” link.  Enter the handling charge and select the desired charge type.  If you do not want to use a handling fee, just set the charge to 0.  

Assuming OrderSavant Web is configured to apply shipping and/or handling charges, when a web order is converted these charges will be applied to the order header and can be viewed in the OrderSavant Application on the Summary tab.  The shipping charge is shown in the “Est. Freight” field and the handling charge is shown in the “Misc. Charge” field.  

When Array users convert an order with the OrderSavant Application, the values of Est. Freight and Misc. Charge are not sent over to Array by default.  In this scenario, if the inside sales person has not done their due diligence on the quote before converting it, no shipping or handling charges are applied to the order.  If the shipping and handling charges should be converted with the order the inside sales person needs to add a line item to the order with the charge.  

As an alternative to forcing the inside sales person to add a line item to the order which includes the desired shipping and handling charges, there are two settings where you can specify the Array part numbers to use for the shipping and handling charge.  These settings are called “Array Part Number for Est. Freight” and “Array Part Number for Misc. Charges” and can be configured with either the OrderSavant Application in the Administrator in the Sites section under the Array Settings tab, or in OrderSavant Web by clicking the “ADMIN” link and clicking the “General Settings” link.  If you do not want to use this feature, just blank out the specified values.  

If the “Array Part Number for Est. Freight” setting is specified and there is a shipping charge calculated, once the customer submits the order with OrderSavant Web the shipping charge will be added to the order as a line item using the setting value as the part number and the shipping charge as the price.  When you open the order with the OrderSavant Application, the “Est. Freight” value on the Summary tab will be zero and you will see the part number used for shipping at the bottom of the order with the calculated shipping charge set as the Net and Ext Net, which in turn will be included in the order total.  When the order is converted to Array, this shipping charge will be included on the order.  

If the “Array Part Number for Misc. Charge” setting is specified and there is a handling charge calculated, once the customer submits the order with OrderSavant Web the handling charge will be added to the order as a line item using the setting value as the part number and the handling charge as the price.  When you open the order with the OrderSavant Application, the “Misc. Charge” value on the Summary tab will be zero and you will see the part number used for shipping at the bottom of the order with the calculated handling charge set as the Net and Ext Net, which in turn will be included in the order total.  When the order is converted to Array, this handling charge will be included on the order.
